Operations Officer - Part Time

The Irish Cultural Centre is seeking a committed and flexible part time operations officer to help oversee the busy and varied schedule of the organisation as we build back from Covid-19. The ICC runs the most extensive and diverse culture, education, and community programme outside of Ireland. To help fund the work that the ICC does it also offers a private hire service on all its spaces.

The post holder will be responsible for supporting day-to-day running and duty management of the building, events & hires set-up, whilst maintaining a welcoming and customer-orientated front of house function.

Having a flexible, “can do”, attitude, and keen to get “stuck in” approach are pre-requisites for operating in a proactive and practical manner across a broad range of tasks. Weekend and evening work could frequently be required.

You will support the Centre Manager and Customer Service Officer to ensure our building is running smoothly, is safe and compliant with the highest standards for health and safety [i.e. Covid 19 safety measures].

Person Specification:

Essential

• Proven experience of working in Building Operations, Front of House, Events or similar.

  • Proven experience of working in a busy customer-orientated environment.
  • Willingness to work evening and weekend shifts.

Desirable

  • Experience of working in the performing arts and cultural sector.
  • Experience of fire marshal duties.
  • Experience of understanding policy and up to date health and safety.
  • Experience of ticketing and e-commerce systems
  • Experience of high-quality event set-up and setting up event technology.

    Skills/Abilities
    • Ability to work across a wide range of tasks, being flexible with a proactive approach.
    • Excellent organisational skills, with the ability to multi-task.
    • Able to learn quickly and work methodically.

  • Comfortable working proficiency of Outlook, Word, and Excel
    • Clear and effective written, verbal and IT communication skills.
  • Strong active listening skills, with a problem-solving approach.

Responsibilities:

  • Health & Safety / Compliance – making sure the ICC is up to date with all health and safety issues including Coivd-19 regulations
    • Operational Planning - The operations officer’s primary responsibility is ensuring that their organization’s daily activities run smoothly, i.e. ensuring all activities that day are set to the standard that the ICC holds.
    • Managing the Building – helping to oversee the stock and supply of the building as well as acting as a keyholder for the building.
    • Customer Management – helping serve any customers that enquire about the ICC services.
    • Customer Satisfaction – ensuring all customers and visitors to the ICC leave with the best experience to date.
    • Managing People – helping manage the operational staff, volunteers, and customers.
    • Management of Resources – overseeing that the bar and the office supplies are always stocked efficiently.
    • Supplier Management – overseeing supplier relationships and aiming to get the best value for money for the company.
    • Reporting – Reporting to the centre manager on the effectiveness and performance of the operations of the company.
    • Quality assurance
    • Business Support – helping the business find any additional opportunities of income and helping oversee our utility contracts.

    Salary - £26,000 pro rata

Events Support Officer - Part-time

The Irish Cultural Centre is seeking a committed and flexible part time Events Support officer to help To manage the Box Office and to provide excellent service by telephone, in-person and online to Irish Cultural Centre customers.

To ensure all team members are knowledgeable about and champion the work of Irish Cultural centre. To ensure data is captured accurately and effectively using the ticketing system (Izettle and Giftpro). To provide excellent customer service to visiting companies, and to liaise with and work alongside other Irish Cultural centre departments.

To analyse and report on data held to allow a greater understanding of Irish Cultural centre’s audience and patterns of behaviour. To work with the Digital Marketing and Events Manager to reach financial and audience development targets on productions and across seasons of work.

Key Responsibilities

Managing Box Office

  •  Ensure the efficient and effective operation of Irish Cultural centre Box Office
  •  Ensure Irish Cultural centre Box Office/front of house operates in accordance with policy, procedure, marketing strategy and general good practice
  •  Ensure the Box Office/front of house delivers the highest possible standard of customer service
  •  Notify Front house staff and ticket agents of any cancelled performances, or amended performance times. Ensure customers are contacted promptly, courteously and efficiently.
  •  To work with associated third parties in line with Irish Cultural centre’s Data Sharing Agreement

Staff Management

  •  Line manage the Events staff team
  •  Train new staff and ensure existing staff are adequately trained. Arrange or deliver training as necessary
  •  Communicate effectively with the Events staff and ensure they are fully briefed
  •  To manage the set-up of all performances, goods and services within the system to given deadlines
  •  Prepare weekly sales reports
  •  Identify opportunities within reporting that will inform management of future sales; work with system providers to design new reports as needed
  •  To analyse data within the ticketing system to identify key trends, booking patterns and customer preferences
  •  Ensure that knowledge of the ticketing system and its application is maintained and regularly updated

General

  •  To attend Marketing & Sales meetings
  •  To attend Operations meetings
  •  To support the work of the Marketing team through reporting and customer behaviour analysis
  •  To carry out other duties consistent with the role of Events support Officer such as ushering

PERSON SPECIFICATION

  • Experience in a similar events/Box Office environment.
  • Experience of supervising a team of events staff
  • Knowledgeable and passionate about the work of Irish Cultural centre
  • Enthusiastic team worker with excellent interpersonal skills
